Building a Useful Customer Support Knowledge Base

Structure, writing style and maintenance habits for a knowledge base that serves customers and AI alike.

Start from real questions

The most useful knowledge base articles answer questions customers actually ask. Export recent conversations, group them by topic and write one clear article for each common question.

Write for scanning

Use a direct title phrased like the question, put the answer in the first sentence, and add detail afterwards. Short paragraphs and numbered steps make articles easier for both people and AI assistants to use.

Keep policies in one place

Returns, refunds, shipping and warranty rules should each have a single source of truth. When a policy changes, update that one article so every answer stays consistent.

Maintain it continuously

Assign an owner, review articles on a regular schedule, and add new content whenever an escalated conversation reveals a gap. A knowledge base is never finished — it grows with your business.

Make every customer conversation count.

Give your customers faster answers and your team more time to focus on the conversations that matter.
